Position Title: Medical Assistant
Location: New Jersey Pediatric Neuroscience Institute (NJPNI)
Position Summary
The Medical Assistant (MA) plays a vital role in supporting patient care delivery and clinic operations within NJPNI. This position is responsible for preparing patients for visits, assisting providers with clinical workflows, accurately documenting patient information, and ensuring exam rooms and equipment are properly maintained. The MA serves as a key point of contact for patients and families, helping to create a compassionate, efficient, and organized care environment. This role requires strong attention to detail, excellent communication skills, and the ability to function effectively in a fast-paced, team-oriented clinical setting.
Key Responsibilities
· Verifies, safeguards and secures patient information by interviewing patient, recording medical history and confirming purpose of visit.
· Obtains all messages from answering service every morning and then returns patient calls and notifies physicians of relevant messages.
· Checking examination rooms every morning for patient safety and comfort issues and act on any issues appropriately.
· Cleans examination rooms between patients.
· Ensures examination rooms are fully stocked with medical supplies; notifying clinical manager if supplies need to be replenished.
· Opening and detailed prepping of physician office notes for the day
· Prepares patients for examination by performing preliminary physical tests such as taking blood pressure, patient weight and temperature and reporting patient history summary.
· Communicates with patients and their families as directed and requested by physicians.
· Coordinates and reviews physicians and clinical staff schedules for the upcoming two weeks at the end of every week. Notifies physicians and clinical staff if scheduling errors exist.
· Obtains primary care physician’s notes, imaging studies and reports, and other relevant documentation prior to the patient’s visit.
· Answer patient phone calls regarding treatment and coordination of care. Asking doctor, PA or APN for further information when required.
· Assists in scheduling as needed by making arrangements with insurance; verifying times with patients; preparing charts, pre-admission and consent forms.
· Perform clinical support for all physicians, PAs & APNs as assigned.
· Provide cross-coverage at front desk reception as needed.
· Maintains safe, secure, and healthy work environment by following local, state and federal standards and protocols.
· Keeps equipment and examination rooms in good order, by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; calling management when needs arise.
· Complies with established policies and procedures including patient confidentiality, HIPAA.
· Performs other duties as assigned
Additional Notes
· Monday through Friday position
· Evening or weekend hours may be required depending on practice needs.
· Knowledge of medical terminology and workflows preferred
· Knowledge of Electronic Medical Records preferred
· Ability to commute to other NJPNI offices as requested.
· Bilingual in Spanish preferred
Qualifications
· High school diploma or equivalent
· Experience healthcare and private practice settings preferred.
Work Environment & Physical Requirements
- Standard office environment within a medical practice.
- Frequent use of computers and telephones.
- Occasional lifting of files, office supplies, or equipment (up to 20 lbs).
Compensation
· Benefits package offered which include health, dental, vision, PTO, 401(k) and life insurance.
· PayScale: $20/hr.- $23/hr.
